Job Title: Office Administrator / Project Coordinator
Location: Office-based, Inverkeithing
Salary: £23,000 - £25,000 (negotiable based on experience)
Hours: Full-time, Monday to Friday, 8:30 am - 5:00 pm (1-hour lunch)
Holiday: Christmas shutdown (half-day on 24th Dec, returning 3rd Jan)
About the Company:
Our client, a small, family-run business, is seeking an experienced and proactive Office Administrator / Project Coordinator to join their growing team. With a focus on quality and exceptional service, the company provides stairlift solutions to private clients, commercial clients, and various local authorities. The team is small but close-knit, and due to an office admin retirement, they are looking for someone who can step in quickly and make a significant impact.
Key Responsibilities:
- Scheduling Engineers & Project Coordination: Managing the daily scheduling of engineers and ensuring the smooth coordination of projects.
- Call Handling: Answering incoming calls and directing them appropriately.
- General Administration: Managing daily office duties, including mail sorting and other general admin tasks.
- Invoicing & Finance: Assisting with invoicing and general finance-related tasks.
- Email & Mailbox Management: Managing emails and ensuring timely responses.
- Stakeholder Management: Communicating with private clients, commercial clients, and local authorities, including those in Fife.
About You: The ideal candidate will be:
- Adaptable & Solution-Driven: Ready to work in an environment where systems and processes are in the process of being updated.
- Organised & Proactive: Able to manage multiple tasks and priorities efficiently.
- Confident Decision-Maker: Comfortable making decisions in your Manager's absence and taking responsibility for office operations.
- Tech-Savvy: Able to navigate and improve existing processes, bringing ideas for system upgrades and streamlining.
Essential Qualifications & Experience:
- Previous experience in an office admin or project coordination role, ideally within a small or family-run business.
- Strong communication skills, both written and verbal.
- Previous exposure to invoicing, general finance, and stakeholder management.
- Experience with scheduling and handling general office duties.
