A well established, independent, property company seeks a highly organised and detail-oriented Administrator to support the lettings and sales teams. In this role, you will assist with administrative tasks across both lettings and sales, ensuring that the processes run smoothly and efficiently. The ideal candidate will have excellent communication skills, be comfortable managing multiple tasks, and be able to thrive in a fast-paced environment.

Key Responsibilities:

Lettings Administration:

  • Tenant Referencing: Process referencing for prospective tenants, ensuring compliance with company standards and legal requirements.
  • Tenancy Paperwork: Prepare and manage tenancy agreements, renewals, and related documentation.
  • Invoicing: Issue invoices to tenants and landlords for rent payments, deposits, and other charges, as well as processing invoices from contractors.
  • Late Rent Monitoring: Track late payments and follow up with tenants regarding overdue rents.
  • Inventories: Manage and update inventory records for properties before and after tenancy.
  • Inspections and Renewals: Administer property inspections, schedule renewals, and assist with relevant documentation.
  • Insurance Claims: Coordinate insurance claims related to property damage or tenant issues.
  • Utilities Management: Handle utilities during void periods, ensuring that services are managed correctly.

Sales Administration:

  • Property Offers and Instructions Letters: Draft and send out property offer letters / emails, and instructions for new property listings.
  • Invoicing: Prepare invoices related to property sales, including commission and fees.
  • Property Descriptions: Ensure property descriptions for online listings and marketing materials are accurate and compliant.
  • Sales Board Maintenance: Ensure that sales boards are regularly updated with accurate property information.

Hours: Negotiable, part time and full time considered
