Job Title: Operations Manager

Location: Office-based in Peterborough

Salary: £30,000-£32,000 per annum

Order Processing

• Process customer orders accurately and on time to maintain excellent service standards.

• Use and update order tracking systems to ensure real-time status visibility for internal and external stakeholders.

• Proactively communicate with customers about order updates, delivery schedules, and any issues or delays that arise.

Supplier Management & Purchasing

• Place accurate purchase orders with suppliers, ensuring they meet specifications for quantity, pricing, and delivery timelines.

• Build and maintain strong relationships with suppliers to ensure consistent delivery performance and promptly resolve any issues in the supply chain.

Goods-In & Warehouse Operations

• Manage the receipt of incoming goods, ensuring all products are checked and stored correctly.

• Oversee warehouse activities such as picking, packing, and dispatching orders, ensuring the process runs smoothly and efficiently.

• Organise product rework, relabelling, and quality checks as required to meet customer specifications.

Delivery Coordination

• Plan and arrange deliveries to customer sites, ensuring timelines are met and customers are informed of delivery schedules.

• Work closely with logistics partners to ensure deliveries run smoothly, and address any problems that arise to minimise delays.

Invoicing & Financial Administration

• Generate and send accurate invoices for completed orders in a timely manner.

• Ensure all financial transactions related to orders are recorded accurately and reconciled promptly.

Performance Monitoring & Reporting

• Track and monitor KPIs related to order processing, warehouse efficiency, and delivery performance.

• Analyse performance data and provide regular reports with actionable insights to drive continuous improvement.

Qualifications & Requirements

• Proven experience in operations management, logistics, or supply chain management.

• Strong organisational and multitasking abilities to handle complex processes and priorities.

• Hands-on experience in order processing, supplier management, and warehouse operations.

• Familiarity with order management tools, inventory tracking systems, and invoicing software.

• Excellent communication skills for interacting with internal teams, customers, and suppliers.

• Attention to detail to ensure accuracy in data entry, order processing, and logistics.

• Problem-solving skills and the ability to perform effectively under tight deadlines.

• Forklift certification is preferred but not essential.

Skills & Competencies

• Strong analytical skills to monitor KPIs, assess trends, and recommend process improvements.

• Practical knowledge of warehouse operations, including product rework and adaptations.

• Ability to adapt quickly to changing priorities and work efficiently in a fast-paced environment.

• Proficiency in Microsoft Office Suite (Excel, Word, etc.) and inventory management systems.

• Effective teamwork and collaboration skills to work seamlessly across different departments.

• Exceptional verbal and written communication skills for managing supplier negotiations and customer updates.
