We have an exciting opportunity available for an Adhoc Postal Dispatch Driver to join the Central Services Department at Thames Valley Police HQ.

This is a temporary role.

The purpose of this role is to provide general and specific administrative support to the Central Services Department

KEY ACCOUNTABILITY AREAS:

  1. Administration of fob access and issuing of ID cards for TVP personnel and visitors, checking bona fides in accordance with Force Policy, liaising with nominated departmental contacts to obtain relevant authorisation. Escalate any concerns of potential security breaches to the Facilities Support Team Leader.
  2. Sort all incoming mail, internal & external, ready for collection by departments from the post room. Ensure all mail from external sources is processed through the x-ray scanning machine, dealing with any suspicious packages in line with Force Policy.
  3. Sort all internal mail for onward distribution around the Force by the dispatch drivers. Assist with the loading and unloading of the dispatch vans, ensuring van loads are evenly distributed & readily accessible to the dispatch drivers for unloading in order of sites visited. Drive a van to local sites to facilitate the sorting of the dispatch vans, including driving to the local Royal Mail sorting office daily to collect the external mail for the HQ Sites.
  4. Act as a point of contact for deliveries via courier into HQ South. Provide assistance to HQ departments in the sending of items externally via courier where this is cost effective, including the maintenance of records such as DX items and courier invoices to ensure appropriate recharging.
  5. Process the franking of all mail on behalf of the Force in a timely & efficient manner, ensuring the most cost effective option is chosen. Identify and challenge any mail that is not work related by bringing to the attention of the Facilities Support Team Leader.
  6. Apply any appropriate security measures / handling procedures required to ensure the handling of specialist / sensitive items (e.g. forensics, NABIS guns, sensitive documents) is managed in line with Force Policy, to allow safe and timely onward transportation, ensuring the evidential chain is protected.
  7. Monitor & maintain all equipment within the HQ post rooms to ensure it remains in good working order, and ensure relevant vehicle checks are regularly completed by the Internal Dispatch Drivers. Ensure planned, routine and reactive maintenance is carried out in accordance with manufacturer instructions and Force Policy.
  8. Process orders on appropriate TVP systems on behalf of Central Services in line with Force Policy. Liaise with Finance department in relation to orders placed and any issues that arise.
  9. Organise essential communication to key stakeholders regarding departmental matters, including the maintenance of the departments Knowzone site.
  10. Act as a point of contact when the Facilities Support Team Leader is unavailable, dealing with queries and liaising with the Team Leader on their return. Provide help & advice to members of staff in relation to postal related queries, to ensure best practice is followed around the Force.

EXPERIENCE AND QUALIFICATIONS:

  1. Good standard of education including proven numeracy & literacy skills.
  2. IT literate, including recent experience of using Microsoft packages
  3. Proven ability to communicate at all levels within a diverse customer focused environment.
  4. As this is a physically active role, the post holder will be expected to lift/move heavy objects, both to waist & shoulder height. Satisfactory completion of a manual handling course will be required (training given), and appropriate PPE provided.
  5. Full UK Driving License to enable travel around the Force to different locations
  6. Good administrative skills in relation to record-keeping and following standard operating procedure.
