Role Overview:As a Procurement Assistant, you are responsible for ordering and maintaining laboratory supplies, to ensure that the company has the necessary materials and equipment available for operations. You will be actively involved in coordinating the laboratory inventory and inventory system, with a focus on laboratory service and support, and ensuring that approved purchases are cost-efficient and meet the required standards of quality and compliance.Additional responsibilities include the control and review of inventory documents, verifying information contained in documents and reports, liaising with suppliers to check order status and expedite delivery, and dispatching sales orders.Key Responsibilities:*Manage ordering, maintain necessary stocks in Stores, log all consumables and equipment as received, and ensure the requirements of the operating laboratory (liaise with the project managers) for upcoming projects are met.*Liaise with suppliers regarding the required purchased products. Manage supplier information and source alternative supplies where necessary.*Perform monthly cyclic stock take and biannual full stock take. Liaise with finance team regarding delivery notes and purchase orders.*Ensure that all Stores facilities and related storage areas are kept clean and free from spills, obstacles and other hazards, and that required safety standards are met.*Manage the laundry process -liaise with the laundry company and with the labs to ensure constant clean laundry is distributed on a weekly basis.*Manage the day-to-day hazardous waste operation, attending to yellow bin waste disposal and keeping track of bin pick-up and delivery. Ensuring the bin storage quantity and time limits are not exceeded, and liaising with the hazardous waste disposal contractors as and when required.*Verify that all associated documentation, ISO standard compliance and risk analysis processes required for stores consumables, including information for regulatory purposes are up to date.*Update work Instructions and risk assessments for new suppliers/products. Follow and enforce the company's procurement policies and procedures.*Act as first point of contact for internal and external procurement audits.*Liaise with the lab team on equipment maintenance and calibration.*Liaise with courier companies for deliveries, and act as first point of contact for DHL and other commercial freight companies.*Update records on sales orders and liaise with the finance team. Produce a focused and commercial report, with annual price checks and reviews of customers and sales.*Maintain accurate purchase and cost records. Perform annual reviews and price checks for all products, standing orders, services and suppliers.Qualifications and Experience:*Demonstrable previous experience (typically about 2 years) in inventory management.*Prior experience with quality management systems and e-commerce is important.*Confident user of computer systems and standard IT packages like MS Office 365. Experience with AMICI and inventory management software is preferred.*Preferred background in managing laboratory inventory.Skills:*Must be reliable and able to work independently.*Must be exceptionally well organized, able to plan and anticipate needs regarding inventory items.
