We are seeking a highly organized and proactive Executive Assistant to provide vital support to our Surrey based client. This role is essential in ensuring efficient operations and requires a candidate with a proven track record as an Executive Assistant to Legal / General Counsel, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Provide comprehensive administrative support, including calendar management, meeting coordination, and travel arrangements.
  • Draft, review, and proofread legal documents, correspondence, and reports to ensure accuracy and compliance with legal standards.
  • Assist in the preparation of presentations and documentation for internal and external meetings, including taking minutes and following up on action items.
  • Conduct research and gather information to assist with legal cases and compliance matters.
  • Manage and maintain legal files and documentation, ensuring all materials are organized and accessible.
  • Liaise with internal departments and external stakeholders, facilitating communication and information flow.
  • Oversee billing and invoicing processes, tracking expenses and handling payments as required.
  • Assist in special projects and initiatives as directed by the Legal Counsel or senior management.
  • Maintain confidentiality and uphold the highest ethical standards in handling sensitive information.

Required Skills:

  • Proven experience as an Executive Assistant or in a similar administrative role, supporting in-house Legal.
  • Strong knowledge of legal terminology and processes.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work autonomously and collaboratively in a hybrid working environment.
  • Strong interpersonal skills and the ability to build relationships at all levels of the organization.

Additional Qualifications and Experience:

  • A degree in Business Administration, Legal Studies, or a related field is preferred.
  • Minimum of 3-5 years of experience supporting legal professionals, including familiarity with legal compliance and regulatory issues.
  • Experience in document management and e-filing systems is advantageous.
  • Professional certifications such as Certified Administrative Professional (CAP) or Legal Secretary certification would be beneficial.
