Civic Support Officer

Join the Member and Civic Services Team within the Chief Executive’s Department, providing a full confidential support service to high-profile civic leaders including the Lord Lieutenant of Leicestershire and the Chairman of the County Council. This role is crucial in managing and planning civic events.

Day-to-day of the role:
  • Manage and plan a variety of civic events such as Armed Forces Day, County Service, and Lord Lieutenant’s Young Person’s Award, taking decisions independently and liaising with various stakeholders.
  • Provide personal support and advice on protocol, etiquette, and organisational issues to the Lord Lieutenant and other civic leaders.
  • Manage the diary of the Lord Lieutenant, ensuring efficient scheduling and coordination of appointments and events.
  • Coordinate incoming and outgoing correspondence, ensuring all communications are tracked, prioritised, and handled with discretion.
  • Attend and accurately minute Lord Lieutenant’s panel meetings, maintaining confidentiality especially concerning sensitive matters like Royal Garden Party nominations and national awards.
  • Assist in the planning of Royal Visits within the County, liaising with Royal Households, Leicestershire Police, and host organisations.
  • Produce professional standard documents including letters, reports, emails, minutes, and presentations using various software packages.
  • Maintain and operate filing and documentation systems in compliance with data protection and confidentiality requirements.
  • Manage social media accounts on behalf of the Leicestershire Lieutenancy.
  • Attend civic occasions, services, and events as required.
Required Skills & Qualifications:
  • Proven experience in event management or a similar role, preferably within a civic or public sector environment.
  • Strong organisational and planning skills, with the ability to manage multiple tasks and events simultaneously.
  • Excellent communication and interpersonal skills, capable of maintaining high standards of confidentiality.
  • Proficiency in various office software packages and social media platforms.
