Administrative Assistant

Department: Engineering & Process Development
Location: Leven
Contract: Full-time (40 hours per week)
Duration: 12-month contract

About the Role:

We are seeking an experienced Administrative Assistant to join our Engineering & Process Development team. This role is essential in supporting the department with managing purchase orders, generating reports, and maintaining key documentation. If you have excellent IT skills, attention to detail, and enjoy working in a collaborative environment, this could be the perfect opportunity for you.

Key Responsibilities:

  • Purchase Order Management: Create, amend, and maintain purchase orders in COUPA, and resolve related queries.
  • Reporting: Run SAP reports for engineers and verify Internal Order transactions.
  • Email Management: Address queries received through shared email accounts.
  • Compliance Monitoring: Oversee daily compliance tasks and process weekly parked and blocked files.
  • Document & File Maintenance: Maintain shared files and update procedures; forward Key Facts and Tool Box Talks to Global Engineering Teams.
  • Safety Reporting: Manage weekly and monthly safety statistics for team meetings.

What we're looking For:

You will excel in this role if you:

  • Work well within a team and independently.
  • Have strong problem-solving skills and can suggest improvements.
  • Demonstrate excellent communication skills and attention to detail.
  • Possess knowledge of Health and Safety legislation and environmental risk principles.

Required Skills:

  • Proficient in Excel, SAP, and database management.
  • Previous experience in administrative roles.
  • Strong IT and computer skills.
  • Detail-oriented and organized.
  • Experience with purchase order management and reporting.

Additional Skills:

  • Familiarity with COUPA and reporting systems.
  • Understanding of Health & Safety regulations and contractor management.
