Aim/Purpose of Job:

Compiles, classifies, records, verifies and maintains data and payments to accounts records for the purchase ledger


Main Duties & Tasks:

  • Use of the computerised order management system to check deliveries and purchase prices, transfer invoices to daybook, matching invoices with deliveries made.
  • Verify invoices against purchase orders and deliveries made, research discrepancies and ensure payment is made to agreed payment terms
  • Research and process charge backs, returns, refunds, cost of lost or damaged goods (Debit Notes).
  • Checking and filing of delivery notes and invoices according to status
  • Deal efficiently and resolve purchase ledger queries
  • To produce and reconcile purchase ledger month end information.
  • To ensure that all required reports are completed accurately, without omissions and to the assigned deadline.
  • To complete month-end routine.
  • Assist in financial procedures and special projects as required.
  • Contribute to the training of new staff in all areas of the department
  • Work as part of a team, supporting colleagues and sharing information
  • To work within government and company Equal Opportunities Policy and practices and report any deviations
  • To work within government and company health & safety policies and practices and report any hazards or incidences
  • Work in accordance with all company environmental management requirements, taking reasonable care for the protection of the environment through your own acts/omissions and report any opportunities for improving environmental targets.
  • To be flexible in undertaking duties and responsibilities and may be asked to perform other duties which reasonably correspond to the general character of the position and are commensurate with its level of responsibility.
