Description

Manage, motivate and encourage the administration team of 3. The administration function is going through a period of change to be better placed to help support the accountancy practice embrace modern technology and ways of working, and provide quality back office support to the professional team.

The ideal person will be able to develop both the team and the systems to embrace the challenges and opportunities available to a professional office. They will be able to implement and ensure compliance with various policies and procedures.

  • Manage building leases and contracts and ensuring terms and conditions are being met.
  • Manage car lease contracts including liaising with suppliers on ordering and return of vehicles.
  • Manage apprenticeships for all apprentices, liaising with college and attending meetings as required.
  • Processing invoices and managing office budgets.
  • Organising company events and conferences.
  • Organise and manage office layout, inventory of office supplies, stationery.
  • Responsible for establishing and maintaining appropriate health and safety policies in all offices and liaising with external health and safety consultants as required.
  • Site visits to other offices as required.
  • Ensuring that health and safety policies are up to date.
  • Assisting senior management team when needed.

Profile

  • Forward thinking with technology and software and the ability to develop and implement systems.
  • Skills to manage change within an organisation, including developing staff, building a team and liaising with other departments.
  • Previously worked as an Office Manager and able to build relationships with Directors
  • Drive the firm towards the use of software and computers and reduce reliance on paper.
  • Excellent use of software and an ability to learn new software.
  • Proven ability to develop teams and line manage responsibilities
  • Manage online and paper filing systems.
  • Proactive and proven problem solving skills.
  • Health and Safety knowledge.
  • Delegate work to staff and manage their workload and output.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritise tasks effectively.
  • High level of professionalism and discretion.
