Senior Secretary - Helicopter Emergency Medical Service

Location: Lisburn, BT27
Salary: 25,147 per annum (12.86 per hour)
Hours: 37.5 hours per week (Part-time options available, minimum of 3 days per week)
Contract Duration: Initially 6 months

As a Senior Secretary, you will play a key role in providing comprehensive administrative and secretarial support to the Director and Operational Lead Paramedic. Your responsibilities will include:

  • Administrative Support:
    • Drafting and typing correspondence, including letters and reports.
    • Audio typing and data inputting.
    • Managing records and ensuring efficient documentation processes.
  • Communication Management:
    • Handling incoming emails, faxes, and postal communications.
    • Ensuring timely action on correspondence and prioritising issues as needed.
  • Telephone Management:
    • Managing calls and inquiries from both internal and external stakeholders.
    • Ensuring effective communication and resolution of requests.
  • Invoice Verification:
    • Verifying invoices related to travel arrangements, course attendance, accommodation, and hospitality.
  • Visitor Management:
    • Welcoming visitors and corporate guests, providing hospitality as required.

To be considered for this role, you will meet the following criteria:

  • Educational Background:
    • Five GCSEs at grade C or above, including English/English Language and Mathematics, plus a minimum of two years' experience in an administrative or secretarial position; OR
    • A minimum of three years' experience in an administrative or secretarial role that includes proficiency in Microsoft Office
  • Additional Requirements:
    • A current full driving license valid for use in the UK.
