Role overviewIntroduction to the role:We have a new opportunity for a part-time Digital Services Assistant to join the Soft Services team in Liverpool. You will be working as part of a busy and well-established team supporting Fee Earners with key services such as scanning, post and reprographics.This is an ideal career opportunity for anyone looking to develop their existing Facilities skills whilst providing an excellent opportunity to learn new skills from other aspects of our Facilities team.Introduction to the team:You will be joining the Facilities Soft Services team which is part of the wider Facilities team which includes Hard Services and Facilities Management. You will be reporting into the Digital Services Team Leader.Key responsibilities:
  • The preparation and scanning of incoming mail and associated items.
  • Scan-back and archive scanning to the agreed guidelines as directed by needs of the businesses. Adhering to the relevant processes and quality standards.
  • Live file scanning as part of reprographics duties as per the FE request.
  • First line preventative maintenance and upkeep of departmental scanning hardware and software, ensuring uptime is kept to a maximum and regular quality checks for quality control.
  • First line preventative maintenance and upkeep of varied office-based equipment and operating systems.
  • Always present a professional image of the firm and maintain a friendly and helpful manner when dealing with clients, potential clients and colleagues.
  • Meet or exceed agreed SLA measures for internal customers.
  • Maintain customer satisfaction/resolve queries/issues
In addition, this role will include:
  • Co-ordinating with various contractors and suppliers
  • Ensure all internal and external queries are dealt with in a prompt and efficient manner
  • Ensuring the office remains presentable and fit for purpose in all respects and at all times
  • Assist with processing, distribution and despatch of inbound and outbound mail
  • Routing of inbound and outbound E-faxes
  • General portage of items between floors and offices
  • Printing and despatch of documents as per FE email requests
  • Dealing with internal and external telephone enquiries
  • Applying costs using cost recovery systems
  • Reprographics - including high volume copying and printing of documents and CD/DVD creation
  • Supporting our Facilities Hard Services team when required.
What are we looking for:Essential
  • Scanning, post room and reprographics experience
  • Experience and understanding of SLA’s
  • Ability to work safely and unsupervised within Health and Safety regulations
  • Excellent organisation skills with the ability to prioritise tasks and work under pressure
  • Excellent IT and problem-solving skills
  • The ability to work as part of a team and independently
  • Excellent customer service skills
  • Good communication skills
  • Willingness to work outside normal office hours if required
Desirable
  • Previous experience of providing Facilities Services within a legal environment
