Main Responsibilities to include:

  • Diary Management: Coordinate the HR Director's schedule, ensuring key priorities are met with no conflicts.
  • Stakeholder Liaison: Act as a point of contact for senior leaders, department heads, and trade unions, ensuring positive relationships and effective communication.
  • Meeting Coordination: Organize and attend meetings, preparing agendas, action trackers, and distributing relevant documents. Take accurate minutes and follow up on actions.
  • Document Preparation: Draft and proofread letters and reports on behalf of the HR Director, handling confidential documents professionally.
  • Visitor Reception: Greet visitors, ensuring a welcoming atmosphere and directing them to the right person or meeting.
  • Union Support: Assist with tasks related to trade union activities and elections, including arranging meetings.
  • Travel and Logistics: Organize travel, accommodation, and conference room bookings for the HR Director and team.
  • Attendance Records: Update the attendance system (Kronos) and track leave records for the HR team.
  • Expense Management: Collect and verify receipts for business expenses and cross-check against credit card statements.
  • Administrative Support: Provide general administrative support as needed, including purchase orders and invoice reconciliation.

Essential Skills and Experience:

  • Previous experience supporting a Director in a fast-paced environment.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience in managing complex workloads and meeting tight deadlines.
  • Excellent organizational and time management skills.
  • Ability to take accurate meeting minutes and manage complex diaries.
  • High attention to detail and the ability to handle confidential information.
  • Problem-solving mindset and flexibility to adapt to changes.
