I am currently recruiting for an Executive Assistant to work closely with a Managing Director of a real estate and development business, this role will be fully office based in Liverpool city centre. Our client are one of the leading businesses and operate across hospitality, commercial and residential sectors.

The Executive Assistant to the Managing Director plays a pivotal role in ensuring seamless communication, organisation, and operational efficiency. The Managing Director has over 25 years industry knowledge and is someone who focuses on leadership, governance, strategy and culture and he requires a Senior EA to support him on his journey.

This position involves managing the MD's schedule, coordinating high-level meetings, overseeing office operations, and providing essential administrative support. The EA will also handle HR-related tasks, work closely with internal and external stakeholders, and support key company events and initiatives.

Key Responsibilities:

  • Prepare, track, and coordinate internal and external communications, meetings, company updates, and branding events.
  • Collaborate with external PR agencies to manage brand-related activities, including the development of brochures and other marketing materials.
  • Manage and prioritize the MD's schedule, ensuring effective time management and alignment with strategic priorities.
  • Prepare for meetings by ensuring all necessary research, notes, and relevant information are available.
  • Attend executive meetings, take comprehensive notes, and create follow-up summaries and files.
  • Collate, prepare, and present various reports, including the monthly board reports, ensuring accuracy and timeliness.
  • Schedule appointments, board meetings, and external training sessions for the senior team.
  • Arrange board meetings, including the preparation of agendas and taking minutes as required.
  • Provide accurate and efficient support in document formatting, presentation preparation, and correspondence drafting.
  • Ensure the timely and precise production of reports, letters, and other official documents.
  • Manage all travel arrangements for the MD, including booking flights, accommodations, and transportation.
  • Collate and process the MD's expenses for inclusion in monthly payroll and reporting.
  • Lead website development initiatives in collaboration with external IT consultants, under the direction of the MD.
  • Provide administrative support for recruitment processes, including job postings, interview scheduling, and coordination with recruitment agencies.
  • Draft offer letters and contracts, manage the onboarding process, and ensure timely submission of payroll data.
  • Manage the induction and probation processes for new starters, including delivering the 'Welcome Induction' presentation.
  • Track payroll changes and draft relevant employee communication.
  • Maintain and update personnel files, ensuring accuracy and confidentiality.
  • Manage employee benefits, including medical schemes, pension plans, and other relevant programs. Handle renewals and liaise with brokers as necessary.
  • Arrange and coordinate training sessions, maintain the training matrix, and ensure annual development plans are implemented.

Requirements:

  • Previous experience as a EA supporting key stakeholders
  • Ideally someone with previous HR Admin knowledge
  • Beneficial for property or construction knowledge
  • Someone with a strong character, tenacious, well presented and confidential individual

In return:

  • Salary up to £35,000
  • Full time office based in Liverpool city centre (potentially 4 days in the office)
  • Monday to Friday 9.00 - 5.00pm
  • Holidays: 25 days + birthday + bank holidays
  • Death in Service (2 x Salary)
  • Medicash
  • Pension: 3% Employer and 5% Employee
