About the Role

One of our clients, a highly successful construction company based in Livingston are currently looking for a highly organised, experienced, and confident individual to join their team as an administrator. The successful candidate will play a vital role in supporting the day-to-day operations of our client's construction company from accepting deliveries and filing paperwork, to answering the phones and arranging travel. This is a dynamic and fast-paced role perfect for someone who has a background in administration and is passionate about doing their job and doing it well!

Key Responsibilities

  • Booking travel and accommodations for employees and contractors:Our client's team is regularly on the move, and it will be your responsibility to ensure that all travel arrangements are efficiently organised and booked. This will include accommodation and any necessary transportation.
  • Negotiating deals on accommodations:In addition to booking accommodation, you will negotiate and secure deals to ensure cost-effective and comfortable stays for our client's team. Strong negotiation skills will be beneficial in this aspect of the role.
  • General administration duties:You will be responsible for providing administrative support to our client's team by handling tasks such as filing, data entry, updating customer files, organising documents and records, and maintaining office supplies.
  • Reception duties:You will be required to greet visitors, handle a large number of inbound and outbound calls, and direct enquiries to the appropriate person. A good telephone manner and strong interpersonal skills will be essential in providing excellent customer service.
  • Processing expenses:You will be responsible for accurately processing expense claims, ensuring adherence to our client's expense policy, and preparing reports as necessary.
  • Accepting deliveries:As an Administrator, you will be responsible for accepting and coordinating deliveries, ensuring that they are directed to the correct department or individual.
  • Multitasking and attention to detail:Our client's fast-paced environment requires an individual who can handle multiple tasks simultaneously while maintaining a high level of accuracy and attention to detail.
  • Proficiency in Microsoft Office:Comfortable working with Excel, Word, and the full MS Office package will be essential to efficiently carry out administrative tasks.
