Duties include:

  • Develop and maintain a documentation repository - Internal / External
  • Collaborate with various departments to gather information and requirements
  • Working closely with Project Support Officer and internal teams on documentation requirements
  • Ensure proper version control and document management practices
  • Handle documentation requests and inquiries from internal and external stakeholders
  • Coordinate with external vendors and contractors for documentation needs
  • Ensure all documentation is accurate, up-to-date, and easily accessible
  • Key-user of the Document Management Solutions (DMS) (e.g. Sharepoint, One Drive,…)
  • Administrator and co-owner of the project room (e.g. Think Project)
  • Maintain lists, set-up folder and permission structure
  • Arranges accounts and permissions for team members
  • analysing and translation of the requirements for technical documentation and data management (DDM) - considering the interfaces and dependencies, definition of prerequisites and implementation of a DDM structure in the project.
  • implementation and adjustment of the DDM-tool (Sharepoint, thinkproject) and organization of necessary trainings for project members.
  • alignment and management of the overall content-based documentation structure (i.e. Templates, Instructions, etc.).
  • definition, structuring, alignment and management of the basic KKS structure, DCC and short texts acc. to applicable standards (i.e. VGB framework).
  • definition, structuring, alignment and management of the IRL and metadata-set acc. to applicable standards (i.e. VGB framework).
  • definition, structuring, alignment and management of the C2-part of the ITT and related appendices.
  • project specific adjustments of standard workflows for reviews and definition of formal and content-based criteria for engineering-reviews.
  • management and tracking of engineering reviews incl. status reporting for value of work done (initiating, challenging, reminding, following up)
  • providing budget information for "as built" and final documentation - related tasks (external parties).
  • contribution, structuring, alignment and management of the DDM-related hand-over/take-over process.
  • steering document administration and control as well as external partners for DDM.

Skills required:-

  • Your professional skills include an expert understanding of various document management systems (MS SharePoint, One Drive, Teams, Think Projects etc.)
  • At least 5 years of professional experience in Engineering, Procurement and Construction of industrial buildings.
  • Your personal competencies include a structured, accurate and efficient way of working.
