We require an Executive Personal Assistant to cover an existing workload within Metropolitan Police, based in New Scotland Yard (Secondary working location is Marlowe House, Sidcup. Although the candidate will be expected to travel to other sites where required to minute meetings. This can be discussed at interview).

This is an interim position for an initial 6 months with the potential to be extended, dependent on workload.

Job Purpose:

  • The Property Services Executive Support is responsible for providing professional and comprehensive business and secretariat support to the PSD Director, SLT and occasionally SMT.
  • The main duties of this role will be to provide diary and inbox management to Director of Property Services.
  • As well as general business support across the teams to support the effective operation of the department.
  • The job holder will regularly be the first point of contact for PSD and must present a professional, efficient and effective manner to maintain the image and reputation of the organisation.

Skills and experience needed to be successful in this role:

  • Solid administrative experience, working within a highly regulated environment, such as a government entity or Public Sector organisation.
  • Working closely and supporting Senior Directors and/or a Senior Management Team.
  • Managing a complex diary.
  • Experience of progress chasing, negotiating and influencing and responding to enquiries providing advice and guidance to Directors and senior managers and acting as a focal point for enquires relating to private office and business support issues.
  • Proficient in Microsoft Office, Outlook and with the ability to adapt to using internal IT systems.
  • Experience and knowledge of working with stakeholders at a senior level.
  • Knowledge of diary and inbox management is important and an understanding of the structure of UK policing would be a distinct advantage.
  • Excellent analytical and organisational skills, including the ability to plan and manage multiple workstreams and competing priorities; able to evaluate, analyse and swiftly summarise information from a wide variety of sources; numerate with a keen eye for detail and accuracy in written and financial reports.
  • Ability to deal effectively with any administrative errors/problems that occur, seeking guidance where necessary to ensure the team administration process is delivered timely, effectively and to the required service.
