Executive Support Specialist To C-Suite Leaders

Our client, a forward-thinking and successful organisation, is seeking an Assistant to provide high-level support to two senior leaders. If you excel in managing multiple tasks, adapting to changing priorities, and building strong relationships, we'd love to hear from you! This role requires someone who can thrive in a fast-paced environment and is eager to contribute to the smooth running of operations.

Position Details:

  • Annual Salary: £50,000 - £55,000
  • Working Pattern: Full Time - 4 days in the office
  • Where: Shepherds Bush Area

Key Responsibilities:

  • ??? Diary Management: Efficiently manage the busy schedules of two C-Suite Officers, adapting to changing priorities and ensuring effective time management.
  • ?? Relationship Building: Foster strong connections across the organisation and with external contacts, ensuring smooth communication.
  • ?? Information Collation: Gather and consolidate information from global teams into consistent formats for easy access.
  • ?? Gatekeeping: Serve as a gatekeeper, managing access to the leadership team.
  • ?? Meeting Preparation: Prepare impactful documentation and presentations for meetings, ensuring the CCO and COO are briefed in advance.
  • ?? Minutes and Agendas: Take meeting minutes and set agendas as required.
  • ?? Travel Arrangements: Manage all travel logistics, including booking flights, hotels, and preparing itineraries for internal and international trips.
  • ?? Collaboration: Work closely with the Executive Assistant to the CEO and coordinate with various departments.
  • ?? Project Management: Take ownership of small projects as needed.
  • ?? Expense Processing: Handle expense processing through the SAP Concur System.

What You Bring:

  • A positive attitude and a willingness to be a loyal team member in a thriving organisation.
  • 10+ years of experience as an executive assistant in a fast-paced environment (luxury, creative, or commercial sectors preferred).
  • High proficiency in the Microsoft Office Suite and an exceptional attention to detail.
  • A solution-focused mindset with the ability to anticipate the needs of the CCO and COO.
  • Emotional intelligence and a personable manner that embodies our client's joyful ethos.
  • A commitment to maintaining confidentiality when handling sensitive information.
