This is a fantastic career opportunity for an experienced Lettings Administrator to join the City’s leading independent estate agency that has a network of five offices providing an exceptional service to their clients and customers. Established nearly 30 years ago, our client is a niche, privately-owned company that has built a significant portfolio of residential development sales, landlords and private clients.

Working as part of a team you will be required to manage and progress the paperwork for new lettings deals from the point of an offer being agreed through to successful move in. You will also be in charge of the day to day administration for the office.

Key responsibilities:

• Greeting & welcoming visitors into the office, assisting with all initial queries• Handing out keys to contractors and inventory clerks• Maintaining an accurate record of the allocation and movement of property keys• Responsible for main line telephone calls & voicemails, emails & post• Assisting other offices and lettings departments if required• Providing office cover when there is a business need (busy periods, shortage of staff, diary clashes)• Processing new tenancies• Arranging check- in appointments and inventories• Generating & distributing tenancy agreements• Assisting negotiators in completing reference checks• Chasing move in funds from tenants• Ensuring documentation & certification compliance for the tenancy.• Sending welcome letters, inventories, and updating utility switching portal• Recording occupant Data• Sending terms of business & client ID (AML) requests• Helping ensure compliance by checking landlord licencing, GSCs, EPCs, EICRCs and CO alarms• Check outs and deposit returns for non-managed properties. Liaising with TDS as required• Generating and completing works orders• Ensuring excellent data quality and saving of all documents and file notes on Reapit• Assisting with marketing, including canvassing, window cards, boards, booking photos etc.

Requirements and skills:

• At least 2 years’ experience within residential property administration• ARLA qualifications would be an advantage• Excellent customer service skills• Excellent communication skills• Excellence in terms of maintaining confidentiality• Strong administrative, computer skills• A strong team player with good interpersonal skills• The ability to work under pressure to meet deadlines• Ability to build long term relationships.

The salary on offer will be in the region of £32,000. Benefits include 20 days holiday in the first year and additional day for each year worked up to five years, bank and public holidays, office closed between Christmas and New Year, AXA Employee Assistance Programme, season ticket loan, cycle to work scheme.

Working hours are Monday to Friday from 9am to 6pm.
