Lettings Administrator Assistant - Notting Hill - £30,000 to £35,000 Dependant on Experience My client, a luxury independent multi-branch estate agent, specialising in period townhouses, luxury apartments and family homes, are currently seeking an experience Lettings Administrator to join their friendly office in Notting Hill.This is a fantastic opportunity to join a firm which offers career longevity owing to the excellent opportunities for career progression, the investment in personal development and the collaborative work environment. Duties:

  • First point of contact in the office running the front of house and manning the office when the negotiators or any other staff members are out on appointments
  • Meet and greet visitors
  • Handling incoming calls, taking messages and referring to an appropriate member of the team
  • Support and assist the Director and lettings team in the day to day running of the Lettings Department.
  • Carry out the administrative aspects of all new and existing tenancies and liaise with tenants and landlord queries throughout the process
  • Organise compliance e.g. Gas Safety Certificates, EPCs, EICRs and Right to Rent checks
  • Organise pre tenancy works including check ins and pre tenancy cleans and send out inventory check ins to tenants and landlords
  • Liaise with landlords, advise as required re compliance and legal requirements
  • Respond to landlord queries and contact for AML, ID and Terms as required
  • Register DPS deposits
  • Regularly update CRM system with new deals and track expiry date of all compliance certificates
  • Obtain Land Registry documents as required
  • Enter invoices for all works and pre-tenancy works
  • Keep track of invoices and unpaid invoices
  • Handle key management process
  • Assist with website and property listings, arranging floor plans/photos, creating property brochures and ensuring listings are updated on portals
  • Assist Management Team in regard to ad hoc marketing campaigns, initiatives and print campaigns, in addition to an administrative liaison with our Digital Marketing Media Agency.
  • General office coordination and administrative duties in relation to sales, lettings, property management and accounts department when necessary
  • Manage deliveries to the office and handle post

Skills Required:

  • Minimum of 2 years' Lettings Administration experience
  • Excellent communication skills and telephone manner
  • Excellent typing skills and grammar when composing letters and emails etc.
  • Computer literate - able to use Microsoft office packages competently
  • Self-motivated and week organised
  • Proactive and positive approach
  • To dress and act in a professional manner within working hours, and when representing the brand
