Job Description:

We are seeking a highly organised and proactive Operations Assistant to join our dynamic team. The ideal candidate will be responsible for a variety of administrative and operational tasks, ensuring smooth and efficient operations.

Key responsibilities include:

  • Creating new projects, quotes, invoices, purchase orders, and adding client and supplier records in the CRM system.
  • Preparing and sending out quotations for clients as directed.
  • Issuing and chasing sales invoices.
  • Communicating with manning agents and freelancers for required manpower and hiring as needed.
  • Arranging international and domestic travel, hotels, visas, and issuing guarantee and visa invitation letters.
  • Liaising with port agents regarding the transfer of personnel and goods to/from vessels/rigs.
  • Liaising with suppliers for the purchase/rent of equipment, tools, and consumables for projects.
  • Issuing purchase orders, organizing shipping, and preparing commercial invoices/packing lists and other required shipping documentation.
  • Keeping track of several overseas engineering and consultancy projects simultaneously.
  • Filing project records to comply with ISO 9001, 14001, 29001, and 45001 standards.
  • Monitoring costs and ensuring all expenses are within budget.
  • Checking personnel certificates and training records to ensure valid certifications, in coordination with the Technical Director.
  • Maintaining office and stationary supplies.
  • Keeping track of petty cash expenses.
  • Checking personnel expenses.
  • Filling in various questionnaires as required.

Requirements:

  • Degree holder (preferred but not necessary).
  • Offshore & Marine Industry Experience Highly adventageous
  • Minimum of 2 years of experience in administrative, operations, or logistics roles, preferably in marine, offshore, marine oil and gas, construction, or a similar background.
  • Strong multitasking and organisational skills.
  • Excellent communication skills in English.
  • Team player with good time management skills.
