Operations Assistant

Location:  Bermondsey, London (flexible – 3 days minimum per week in office to support consultations)

This is a hybrid position designed to provide proactive, thoughtful support to the founder of a sustainable jewellery brand. Blending elements of Executive Assistant to Admin, PA, your role will cover everything from project support on bespoke jewellery to preparing the studio for events, sourcing ethical suppliers, and making sure the founders day-to-day flows without friction. 

This successful candidate will become almost like a second brain and right hand, quietly handling all of the “open loops” so the founder can be the visionary and not the bottleneck. You’ll be integral to keeping the business running smoothly behind the scenes so the founder can stay focused on strategy, creative direction, and growing the brand.

Key Responsibilities

Executive & Personal Support

  • Manage the founder’s calendar and inbox, scheduling meetings, flagging key priorities, and keeping communication flowing
  • Book travel and appointments for both personal and business needs
  • Assist with occasional errands such as post-office runs, sourcing items, or coordinating bookings

Studio Operations & Admin

  • Handle any issues related to incoming materials or supplier deliveries
  • Communicate with ethical suppliers, casters, and packaging providers

Project Management Support

  • Use Asana to track timelines and tasks for bespoke, engagement, and wedding ring projects
  • Draft and send follow-up emails to clients after their consultations with the founder
  • Support the coordination of collaborations, including sourcing materials and helping manage deadlines

Studio Readiness

  • Prepare the studio for in-person appointments and events, ensuring it looks and feels welcoming

Reporting & Systems Support

  • Keep gemstone inventory up to date (particularly sapphires and diamonds)
  • Maintain spreadsheets and simple reports around project timelines, costs, and supplier info
  • Ensure Asana is always up to date and reflects current priorities

Ethical Sourcing Support

  • Research new suppliers for collaborations and bespoke work with a focus on sustainability and traceability
  • Maintain a clear record of certifications and supplier ethics documentation

Team Culture & Events

You’ll also play a key role in nurturing team connection and supporting the studio environment. You’ll help make it a great place to work and grow. 

  • Planning occasional in-person events
  • Coordinating seasonal team activities
  • Organising small celebrations (like birthdays or launches)
