Your new companyI am working with a prestigious non-ministerial government department based in London who are responsible for protecting health in the UK. My client is looking for secretarial support for a senior Director within the organisation. This role is hybrid and until the 18th July 2025, and we are looking for someone with a well-established Personal Assistant skill set within the public sector. The duties of the role are as follows:Day-to-day management of information flow

  • Managing the Director's inbox, overseeing long- and short-term priorities, including forward planning of briefing and clearance requests to specified deadlines, and triaging issues.
  • Managing requests for information and input, ensuring they are delivered in a timely manner to an assured quality, ensuring confidentiality as appropriate.
  • Drafting Director communications as and when required - for example, fortnightly directorate staff updates.
  • Commissioning and co-ordinating lines, briefings and speaking notes to strict timelines from relevant teams, including for Business Committee papers, Board papers, internal and external meetings.

Management of meetings / diary

  • Managing the Director's diary, time and resources to prioritise requests and actions, ensuring the Director's attendance at meetings and engagements.
  • Arranging meetings and engagements in a timely manner, including booking and arranging cost-effective travel and accommodation as necessary.
  • Providing logistical and administrative support for meetings and engagements, including internal and external stakeholder meetings, Committees and Boards, ensuring the Director is fully prepared and informed on issues.
  • Ensuring any issues raised at meetings and engagements are identified, captured and communicated to relevant people and noting and following up on any actions that arise.

Strategic responsibilities

  • Develop frameworks and processes around which the Director can lead better decision-making.
  • Work with the senior staff and their business areas to ensure efficient stakeholder management on behalf of the Director, including horizon scanning and reacting to events.
  • Build, develop and maintain good working relationships with key officials across the organisation and stakeholders to maintain a holistic overview of key strategic activities and events and ensure the Director is briefed as necessary.

What you'll need to succeed

  • Proven experience of working autonomously - using initiative and sound judgement to prioritise and work effectively to tight deadlines.
  • Experience of using excellent and well-developed interpersonal skills to build and maintain working relationships with colleagues across all levels of seniority
  • Excellent communication skills (written and verbal) with the ability to quickly analyse and summarise complex ideas and present them clearly to seniorStakeholders - ensuring only relevant information is included.
  • Experience of diary and inbox management.
