The PMO Administrator will support the Project Management Office (PMO) by providing administrative and operational assistance. The role will report to the Head of Operations but receive day to day direction from the PMO Analysts.

The ideal candidate will have strong organisational skills, attention to detail, and the ability to work collaboratively with our internal teams.

Responsibilities:

  • PMO Support: Support the PMO Analysts to contribute to the delivery of high-quality services both to our clients and to our internal stakeholders.
  • Contract Management: Ensure accurate and timely contracts are issued to Umbrella Companies and that queries and issues are resolved promptly, chasing those that are outstanding ahead of the projects' start.
  • Status Reporting: Assist in the Project Status Report process, ensuring that reports are submitted by the deadline and highlighting any issues or risks to the Delivery Leads.
  • Client Highlight Reporting: Assist in the creation of client Highlight Reports, ensuring that reports are accurate and to a high quality and delivered to the client prior to the deadline.
  • Finance Support: Resolving invoicing queries and aged debt issues with clients
  • Expense Processing & Reconciliation: Support in the processing and reconciliation of consultant expenses, ensuring consultants are reimbursed in a timely manner
  • Process Support: Assist in the development and implementation of PMO governance and processes.
  • Communication: Facilitate effective communication between key internal and external stakeholders and suppliers. Response to inquiries and provide information as needed.
  • Administrative Support: Perform general administrative tasks as required by the Managing Partner and Head of Operations

Required Skills & Experience

  • Excellent oral and written communication skills
  • High level of accuracy and attention to detail
  • Excellent organisational and time management skills
  • Strong relationship building and interpersonal skills
  • Experienced user of MS Office toolset (Word, Excel and Project)
  • Ability to work independently and as part of a team
  • Previous experience of working in a project support or administrative role would be a plus
