TEAM ASSISTANT   A renowned global financial company is seeking an Assistant to join their Transaction Banking division. The assistant is responsible for providing extensive administration support to a group of managing directors alongside various requests from junior team members.  The assistant role sits within a group of assistants supporting various bankers or engineers based in London and across the region. The assistant will be provided with full training alongside ongoing support from their supervisor. The ideal candidate would be highly competent, proactive, and independent with at least 3 years’ experience working as assistant in a professional environment with knowledge of diary management, travel bookings and logistic management.    TEAM ASSISTANT ROLE:
  • Diary and calendar management for Managing Directors
  • Coordinating and scheduling meetings and conference calls across multiple time zones
  • Managing high volume of emails and relaying information in a timely and accurate manner
  • Coordinating room bookings for internal/external meetings and video conferences across multiple locations
  • Coordinating travel arrangements, including visa applications, international flights, accommodation, and car bookings
  • Expense management and preparation
  • Invoice processing
  • Taking on ad hoc tasks while maintaining workflow
  • Supporting teams with day-to-day issues, needs, and queries
  • Providing phone/holiday coverage for colleagues
  • Admin functions such as updating attendance and other team admin tasks
 TEAM ASSISTANT ESSENTIALS:
  • Excellent Microsoft 365 skills with a proactive attitude towards managing diaries and logistics
  • Ability to manage competing, time-sensitive priorities and tasks
  • Demonstrates dependability, high attention to detail, and strong multitasking abilities
  • Consistently professional communication skills in person, on the phone, via Zoom, and by email at various levels
  • Comfortable working with people at all organizational levels, both internally and externally
  • Team player with the ability to work well under pressure in a changing environment
  • Flexible and adaptable, able to support multiple teams
  • Resourceful with the ability to use initiative in solving issues
  • Discretion in handling confidential business matters
  • Friendly, polite, approachable with a “can do” attitude
