About the Role:We are seeking a detail-oriented and organised Document Control and Quality Assurance Coordinator to join our London office. In this role, you will be responsible for managing the document control process and ensuring that all quality assurance activities are conducted in compliance with company standards. You will support cross-functional teams by maintaining accurate documentation, facilitating audits, and ensuring that all internal processes meet the highest quality standards.

Key Responsibilities:

  • Oversee the organisation, control, and distribution of all documents related to quality assurance and regulatory compliance
  • Develop and maintain a centralised document control system, ensuring all documentation is accurate, up-to-date, and easily accessible to relevant teams
  • Assist with the preparation and management of quality assurance audits, ensuring all required documents and records are readily available for review
  • Coordinate the review and approval process for documents, ensuring compliance with internal policies and regulatory requirements
  • Monitor and track document change requests and revisions, ensuring proper version control
  • Support the quality assurance team in developing and implementing procedures and protocols to maintain product quality across all stages of production
  • Ensure that product specifications, test records, and other quality-related documents are complete and compliant with regulatory standards
  • Assist with the resolution of quality issues by identifying trends, providing reports, and offering solutions to improve processes
  • Provide training and support to staff on document control procedures and quality assurance processes
  • Ensure compliance with internal and external standards, regulations, and guidelines

Key Skills & Experience:

  • Experience in document control, quality assurance, or related roles, preferably in the beauty, cosmetics, or consumer goods industries
  • Knowledge of quality management systems (QMS) and regulatory compliance standards
  • Strong organisational skills with the ability to manage multiple projects and priorities simultaneously
  • Attention to detail with a commitment to maintaining high levels of accuracy and consistency in documentation
  • Excellent communication skills, with the ability to interact with various teams and external partners
  • Proficient in Microsoft Office and document management software (knowledge of QMS tools is a plus)
  • Ability to work independently and collaboratively within a team environment
  • Experience with audits, quality documentation, and regulatory submissions
  • A degree or qualification in a relevant field (such as quality management, business, or science) is desirable
