This is an exciting opportunity based in a prestigious school in the City of London where you will be assisting the head of department in number of tasks, such as:

  • To act as first point of contact for all enquiries for the Facilities team and provide accurate information and updates to the relevant people. Escalating to the Facilities Maintenance Supervisor or Facilities Manager where necessary.
  • Undertaking Lettings Management, providing quotes, diary managing & invoicing. Liaising with the team to make sure Lettings can be facilitated.
  • To support the Facilities Manager with diary management and ensuring effective scheduling - organising meetings and appointments on their behalf with staff and external visitors etc.
  • Obtain quotes for works, ensure orders are raised and invoices are processed for payment within the prescribed period, or queried and accounted for, ensuring that requirements are met by the supplier, and that supplier disputes are resolved in a timely manner.
  • Sorting payments and paying invoices
  • Chasing payments
  • Research on projects for the department manager
  • Admin support.
  • Hosting viewings for people looking to potentially let areas of the building.
