Job Title: Facilities AdministratorThe Role

We are looking for a Facilities Management Assistant to support the site team in delivering anefficient and compliant facilities management service. This role involves working with in-housestaff, suppliers, and consultants to oversee both hard and soft services.

Responsibilities

? Financial responsibilities - raising POs, invoicing, and assisting with budgets. ? Monthly reporting and updating data statistics. ? Deliver exceptional customer service to both internal and external stakeholders.? Maintain regular and effective communication with clients and occupiers.? Collaborate with internal teams in property management, support functions, and thewider business.? Oversee works, audit processes, and inspect supplier-provided services.? Support managers in measuring and reporting supplier performance against agreedSLAs.? Procure goods and services for the estate, ensuring compliance with procedures andpolicies.? Assist in the preparation of management reports and attend relevant meetings.? Conduct regular building inspections, generate reports, and ensure follow-up actions arecompleted.? Work alongside the Corporate Facilities & Health & Safety Manager to oversee localenvironmental initiatives, ensuring compliance with statutory obligations and maintainingindustry standards such as ISO14001.? Ensure security and emergency procedures are consistently followed and play an activerole in emergency situations.? Perform administrative tasks, including the use of relevant systems.

Person Specification

Qualifications & Key Skills? GCSE level education (or equivalent), including English and Mathematics.? Completion of a Managing Safely course accredited by IOSH.
