Facilities/maintenance of office building

  • Monitor the yearly planner - including maintaining an awareness of upcoming deadlines and facilitating related communication.
  • Regularly review and update the Facilities document suite, including but not limited to updating fire wardens, office changes etc.
  • Act as a point of contact for on-site maintenance engineers.
  • Escort contractors around our premises when required.
  • Attend monthly meetings with the building's Landlord and contractor management and take minutes.
  • Coordinate department schedules and assist with office moves (IT, cleaning, post room, facilities). Maintain OneNote database records of Leavers and Joiners with checklist of IT and Facilities Department processes.
  • Perform regular "walk arounds" checking the office, noting issues and escalating to the Administrative Manager.
  • Responsible for maintaining and updating London Office Space map online, the local PDF version and Compass.
  • Responsible for diarising and following up annual services of Catering, Post Room and Print Room equipment and timely filing of relevant documentation.
  • Book sub-contractors in with reception and use data scope where required for the loading bay

Health & Safety (H&S) in the Workplace

  • Update H&S induction materials as required and deliver H&S Induction to new starters in the absence of Administrative Manager.
  • Prepare documentation and meeting annually with all departments to conduct risk assessments and to address all safety concerns as a result thereof.
  • Assist in identifying and implementing cost saving solutions for ergonomic equipment. Maintain the asset register system and audit annually.
  • Conduct monthly safety walks and identify solutions to mitigate risks identified.
  • Conduct annual review of working from home risk assessments.

Monday to Friday 9:30am to 5:30pm£25,000 to £28,000 PA
