About you
- At least 5 years' Premises and Facilities Management experience
- Experience of managing a mixed (in-house and outsourced) operation for a blue-chip organisation
- Financial management experience of multiple 'large budget' cost centres
- Project management skills, to include experience in creating project plans and preparing management reporting
- Proven track record in supplier management and contract negotiation
- Strong people management and leadership skills
- Able to reach considered decisions under pressure
Your role
Reporting to the UK Head of Operations, you will be responsible for the effective delivery of Hard FM services and estates projects through appointed contractors.
You will support and implement the strategic delivery and development of the Hard FM contract, ARP, and future estates project plans.
You will provide technical advice to the Firm on all aspects of the management of Hard FM services and estates projects.
You will also be responsible for an outsourced Hard FM Services contract of 19 FTE
- Budget: - managing revenue budgets of c.£4m and project budgets.
- Headcount: - Responsible for an outsourced Hard FM Services contract of 19 FTE
- Managing the procurement of energy contracts - Electricity & Gas
- Management of energy use including maintain records of consumption and finance
- Responsible for adhering to mandatory energy reporting, EPC, ESOS
- Ensuring statutory maintenance compliance for all building systems
- Management of building assets and lifecycle reporting
- Managing and maintaining building records O&M's
- Providing business case for small works projects and overseeing the safe delivery
- Familiar with HV and LV electrical distribution systems, critical services such as generators, UPS systems, Chilled water systems, LTHW systems and HVAC plant.
- Familiar with building management systems, BMS in particular TREND Controls and Tridium Niagara
- Operation and control of fire systems and associated life safety systems
- Maintenance of vertical transport equipment Lifts and BMU's
Service Delivery:
- Building Services - contract and service management of general building maintenance, building engineering and plant maintenance, handyman and building projects
- Procurement of utilities and responsible for energy management and delivery of energy data
Business Continuity:
- To ensure that the facilities continue to operate, safely, efficiently and without interruption 24/7, 365 days a year.
- To act as a key member of the firm's UK crisis management team - which effectively involves being on 7 day/24hour call to respond to emergency incidents.
Leadership:
- To influence and motivate the functions' managers. Support, encourage and deliver strong and clear direction.
- To lead by example and set high personal standards and encourage these in others.
Business Management:
- Responsible for business planning and initiatives.
- Control costs and provide regular reporting to demonstrate that costs are being managed.
Project Management:
- Appointment of contracts, consultants, producing building contracts, obtaining licences, renegotiating leases, controlling costs.
- Liaison with our landlord, neighbours, developers and the City of London Corporation.
Communication:
- To communicate clearly, concise and openly within and outside the function.
- Take responsibility to interact with the practice and other business services functions whilst looking to build new relationships and enhance existing ones.
- Facilitate communication within the function, seek others' views and build consensus
