We are seeking an experienced personal assistant to provide day-to-day support to a managing partner and a junior partner.
The successful candidate will maintain effective communication with the managing partner and work with them to organise their diary, manage their appointments and commitments and liaise directly with clients and professionals on their behalf. They will also assist the diary management and booking appointments for the other partner that they support.
They will ideally have at least three years of personal assistant experience to a partner or director in a legal setting.
Their responsibilities will include, but are not limited to:
Diary management and answering internal diary related queries
Collating and recording monthly expenses
Liaising with clients and professionals to arrange calls, video conferences, in person meetings and restaurant reservations.
Booking meeting rooms internally and externally
Liaising with new prospects, including:
Taking initial information over the phone
Booking initial calls with solicitors
Send Settify forms to the client
Sending LEGL onboarding emails and engagement letters
Managing the mediation process, including:
Book intake and joint sessions
Send mediation process emails
Send onboarding docs, LEGL links for AML checks, payment on account
Send session summary emails out
Send out invoices
FMC membership renewal
Schedule meetings with mediation coaches
Manage mediation voucher scheme
Scheduling coaching and training sessions and providing necessary documentation
Drafting covering emails and sending letters and emails out on behalf of Peter/partners
Electronically signing COFA forms, contracts and documentation on behalf of Peter/partners
Assisting with the preparation for and scheduling for Resolution drafting committee meetings
Assisting with the scheduling and organising of national and regional Resolution committees, including:
Setting up SharePoint folders with relevant documentation
Setting up BaseCamp for meetings
Liaising with attendees, fielding questions and tracking attendance
Assisting with the organisation and progression of various projects, including:
Scheduling meetings
Providing relevant documentation
Scheduling follow up meetings
Checking the progress of projects and reminding Peter/partners where projects have stalled
Liaising with any third-parties in relation to projects where appropriate
Assisting with the maintenance of membership to the International Association of Foreign Lawyers and organising attendance to relevant eventsAssisting with travel arrangements including booking taxis, trains, flights, hotels and activities
Fielding calls when Peter/the partners are unavailable, taking messages and assisting where possible
Monitoring Peter/the partners inbox when they are on annual leave and forward relevant emails to appropriate members of staff for action
Assisting with the organisation of Burgess Mee hosted events, including:
Booking venues
Catering
Sending invites and collating attendance lists
Liaising with relevant third-parties, including PR and marketing agencies
Assisting with the creation of marketing material
Attending events the day to assist with organisation
Note taking
E-filing
Time recording
Any other reasonable responsibilities, from time-to-time, expected in a personal assistant role
