We have an exciting opportunity for a People Shared Services Team Lead to join our People Team who sit within the People directorate here at The London Clinic. This role is based at our head office in London (NW1 4LJ) on a hybrid working model, and we are offering a competitive salary on a 12-month FTC.

Established in 1932, The London Clinic is one of the UK's largest private hospitals, with 8 state-of-the-art facilities, and circa 1350 employees where we are dedicated to providing our patients with expert, individualised treatment and care. Our main hospital spans 8 floors comprising of 150+ patient beds and 10 operating theatres, including a Hybrid theatre and two minimally invasive/day surgery theatres. Speciality areas include, General surgery; ENT; Gynaecology; Hepatobiliary; Neuro-spinal; Ophthalmic; Orthopaedic; Plastic and reconstructive; Robotic; Urology; Vascular & Weight loss surgery (bariatric surgery).

Job Description

You will be responsible for the leadership and management of The London Clinic's New Starter's compliance process, ensuring that new starters (permanent, fixed term contracts and bank) recruitment checks are complete and in accordance to agreed SLAs, processes and polices.

You will also be responsible for the leadership and management of The London Clinic's People Team enquiries, ensuring that all in person, telephone and email enquiries regarding the employee life cycle are dealt with promptly and in accordance to agreed SLAs, processes and policies

Responsible for Line Manager duties such as managing AL, appraisals and compliance of SMTs for People Shared Services Team.

You'll manage the auditing and manage maintaining employee personnel files on SharePoint and other HR records. Ensuring all documentation is complete, accurate and accessible to members of the team as required. You will manage the Visa Sponsorship process for New Starters and current employees who require a Skilled Worker Visa to work in the UK.

  • Hours: 37.5 hours per week; Mon - Fri within the core hours of 9am - 5.30pm.

Duties & Responsibilities

  • To interpret and communicate People policies and benefits when required
  • Co-ordinate the on-boarding and compliance process for new starters, ensuring that all new starters (permanent, fixed term contracts and bank) are on-boarded in accordance with safe recruitment processes and polices and within set SLAs
  • Accountable for managing the pre-employment checking process which includes references, occupational health clearance, DBS disclosure, right to work information, visa applications, professional registration details, risk assessments and any other requirement as stipulated by The London Clinic
  • To maintain the HR payroll processing on a regular basis, submitting paperwork to Payroll in a timely manner; processing new starters, job changes and leavers on iTrent system (permanent (monthly payroll) and Bank staff (weekly payroll))
  • To be responsible for the maintenance of the iTrent organisation structures, ensuring that it is a current and accurate reflection of the organisation's hierarchy. To provide expertise on the upkeep of the structure and ensure major restructures are executed in a timely manner
  • Work with HR Systems team in IT to resolve system errors
  • Provide training and support to users of the HR system to encourage the use of Self-Service and People Manager
  • Where possible identify ways to maximise the utilisation of HR systems and automate manual processes
  • Carry out regular performance appraisals with all direct reports and to support staff in their professional development and achieving agreed SLA's & KPI's.
  • Identify, develop and support staff training needs within your team in line with organisational objectives.
  • Provide leadership and maintain a high morale.

Skills & Experience

  • Previous team leadership or management experience.
  • Experience of data production and analysis, e.g. dashboard, HR/Compliance metrics.
  • Experience of using HR information systems.
  • Experience of working in a customer service and continuous improvement environment.
  • Demonstrate a proven level of achievement, management competency and the ability to be a team leader.
  • Excellent customer service
  • Knowledge of right to work requirements including UK immigration compliance
  • Knowledge of risks associated to non-compliance.
  • Able to work well in a busy environment
  • Excellent time management and ability to prioritise meeting deadlines
