What You'll Do:As our Part-Time Events Coordinator, you'll be the heartbeat of our events, ensuring everything runs smoothly and efficiently. Here's a glimpse of your key responsibilities:

  • Be the First Point of Contact: Liaise with X72 participants, ensuring all inquiries are handled promptly and professionally.
  • Travel Arrangements: Book travel for international attendees and write visa and invitation letters as needed.
  • Accommodation & Catering: Secure accommodation in London and arrange catering services (both internal and external).
  • Post-Conference Dinners: Organise three delightful post-conference dinners to celebrate our attendees.
  • Collaboration: Work closely with the communications team and reprographics to order programmes and printed materials.
  • Event Essentials: Order name badges, send out invitations, and book AV support to ensure a seamless experience.
  • Feedback Collection: Gather valuable feedback through surveys to enhance future events.
  • Finance Management: Process expense claims, set up claimants on the finance system, and monitor expenditures to stay within budget.
  • On-The-Day Coordination: Set up registration, coordinate stewards, ensure tech is set up, and troubleshoot any issues to guarantee a smooth-running event.

What We're Looking For:

  • Strong organisational skills and attention to detail.
  • Excellent communication skills to liaise with diverse stakeholders.
  • A proactive attitude and ability to troubleshoot on the go.
  • Prior experience in events coordination is a plus but not essential-enthusiasm and a willingness to learn are what truly matter!
