Job Title:Finance Administrator / Assitant ManagerAdministrator Catering Services
Job PurposeThe Administrator will be responsible for ensuring the smooth operation of catering services, supporting financial processes, health & safety compliance, training, menu management, and marketing initiatives. This role requires excellent organizational skills and the ability to work collaboratively with both internal teams and the client.
Key Responsibilities/Financial Management- Process weekly accounts and event recharges.
- Maintain a full understanding of financial controls and budgets.
- Assist the manager in processing weekly and monthly HACCP records.
- Organize and maintain weekly HSE files for management sign-off.
- Ensure all health and safety procedures align with company policies and legal regulations.
- Ensure all Graysons employees training is up to date and compliant with current legislation.
- Support recruitment processes and ensure onboarding procedures meet company standards.
- Prepare daily restaurant menus, ensuring they reflect the client environment and provenance.
- Work closely with the General Manager and Graysons marketing team to ensure all marketing materials are relevant and on-brand.
Reports to: General Catering Manager and Operations Manager.
Qualifications & ExperienceEssential:- Level 2 Food Safety and Hygiene certification (training provided)
- Proven experience in a similar administrative role.
- Understanding and experience in health and safety compliance.
- A-level or equivalent qualification in finance or mathematics.
- Experience in a corporate or restaurant environment.
- Excellent verbal and written communication skills.
- Strong interpersonal skills, able to engage with people at all levels.
- Effective report writing and document preparation abilities.
- Strong analytical and problem-solving skills.
- Ability to work independently with minimal supervision.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Keen attention to detail.
- Experience in delivering training and presentations.
- Ability to motivate teams and drive behavioral change.
- Salary: Starting from £35,000 per annum
- Working Hours: Monday to Friday, 08:00 to 16:30
- Holiday Entitlement: 20 days of annual leave, plus bank holidays.
