A well-known Japanese culture hub based in London is currently recruiting a Programming Projects Coordinator (Exhibitions).

In this role, you will be responsible for developing, coordinating and executing exhibition programme, supporting the production of proposals for programmes, and assisting in liaison with stakeholders in Japan and the UK.

The ideal candidate should have experience in exhibition coordination, strong bilingual communication skills, project management abilities, and a deep understanding of Japanese culture.

TYPE: Fixed term to 31st March 2029 (There is potential for extension)

WORKING HOURS: Full-time role of 40 hours per week, inclusive of after-hours project-related tasks (evenings and weekends)

(*) Outside of installation periods, standard working hours are 8 hours per day, 5 days per week, with core hours from 10am to 3pm

SALARY: £32 - 36k, depending on experience

Programming Projects Coordinator (Exhibitions) Main Responsibilities:

  • Developing, coordinating, and executing exhibition programme under the supervision of the Head of Programming Projects
  • Drafting proposal documents, graphic and creation overviews, and project management timelines
  • Supporting curatorial research and content development
  • Preparing documentation for exhibition logistics
  • Ensuring exhibition installations and de-installations are conducted efficiently and on time
  • Managing and coordinating vendors, designers, and content holders
  • Managing all relevant insurance and shipping requirements for exhibitions
  • Helping artists, content holders and other exhibition-related members with travel and accommodation planning
  • Conducting the daily maintenance of exhibitions and care of art works/display objects
  • Managing the storage of non-displayed loaned/owned objects
  • Ensuring technical and logistical needs of programmes and venue requirements are met
  • Liaising in English and Japanese with stakeholders for exhibition development
  • Building relationships with cultural and academic institutions, contractors, and individuals in the UK and Japan
  • Monitoring and maintaining any assigned budgets
  • Sourcing products and services and completing internal financial processes
  • Coordinating with team members to respond to any questions or requests

Programming Projects Coordinator (Exhibitions) Ideal Candidate:

  • At least 3 years professional experience in a similar role with responsibility for executive-level correspondence, administration and logistics management and programming
  • Business level fluency in both English and Japanese
  • Proven skills managing exhibition production or installation
  • Strong administration skills with proficiency in MS Office
  • Understanding of Japan and Japanese cultures
  • Project management experience
  • Budget management experience
  • International shipping management
  • Additional training in art handling or project management
  • Experience with CRM platforms
  • Knowledge of funding application processes
  • Experience in a project-office environment
  • Experience of working in an inter-cultural environment
  • Understanding of Japanese culture
