New Business Administrator - Intestacy/Probate

London EC1 - Hybrid - at least 2 days per week in the office in Shoreditch and then work from home.

Salary: £34,000 p.a.

One year maternity contract (could go permanent).

Our client is a leading professional research and probate company based in Shoreditch area that have won several industry awards.

They are looking for a Legal Secretary/Legal Administrator for a New Business Admin role working in Intestacy/Probate to handle all new incoming enquiries and quotations, liaising with other internal departments and ensuring that clients needs are understood and met.

Duties for New Business Administrator - Intestacy/Probate:

  • Act as the first point of contact for all new private client enquiries via phone, email, or website.
  • Qualify and assess enquiries, identifying the appropriate legal department or specialist to handle the case.
  • To log and respond promptly to enquiries, providing initial information, advice, and guidance on the firm’s services.
  • Liaise with prospective clients for new work and gather information on their case specifics and requirements.
  • Prepare and deliver accurate, bespoke quotations for services across various private client departments, ensuring clarity and transparency.
  • Follow up on sent quotations to secure new business and answer any questions related to fees or services.
  • Regularly review and monitor open enquiries and quotations.
  • Work closely with other internal departments such as Private Client, International team, etc. to ensure the right services are offered based on the client’s needs.
  • Provide regular updates to senior staff on new business leads and opportunities.
  • Build and maintain relationships with potential clients, providing high-quality service to enhance client satisfaction and loyalty.
  • Identify opportunities for cross-selling other services within the firm to existing or potential clients.
  • Respond to client satisfaction surveys received from private client solicitors, advertising the services of other departments.
  • Update and maintain the firm’s Client Relationship Management system with all new enquiry details and interactions. Ensure contacts details are updated/removed as necessary.
  • Provide general support to management team and complete tasks as directed.
  • Regularly communicate with management team.
  • Manage a high workload.
  • To undertake training and development as specified by line manager, management, or director.
  • Undertake any additional duties appropriate to the post as requested by line manager, management, or director.
  • To observe the company’s conduct code, rules, and regulations.
  • To attend corporate functions as directed by line manager, management, or director.
  • Attend internal or other meetings or events as requested.

Skills Required for New Business Administrator - Intestacy/Probate

  • Experience within private client legal sector
  • Understanding of Probate and/or Intestacy rules
  • Experience of dealing with professional clients, solicitors and members of the public in a courteous and professional manner over the telephone and in writing
  • Excellent communication and interpersonal skills with the ability to engage and build rapport with clients.
  • Strong organisational skills, with the ability to manage multiple enquiries and tasks efficiently.
  • Excellent administrative skills
  • Thorough knowledge of MS Word and Outlook
  • Attention to detail
