Our client, a long established reputable accounting firm in London, is looking for a Secretary.

[Overview]

As a Secretary, you will play a pivotal role in ensuring the smooth operation of the office and providing essential support to the Partners. Your responsibilities encompass a wide range of tasks, from managing administrative duties to assisting with client communication and document management.

[Main Duties]

(1) First Point of Contact

- Greet visitors warmly and handle phone calls professionally.

- Create a welcoming and positive experience for all guests.

(2) Partner Support

- Assist Partners with daily tasks, including drafting letters, client communication, and scheduling Zoom meetings.

- Handle logistics such as restaurant bookings and office operations.

- Organise lunches and taxi arrangements.

(3) General Administrative and Office Tasks

- Procure office supplies and manage incoming mail.

- Coordinate events and handle staff-related tasks.

- Maintain confidential waste disposal and courier management.

- File documents and manage holiday cards.

- Order printer toners and update spreadsheets.

(4) Document Management

- Amend headed paper during Partner changes.

- Monitor Bank Audit Letters.

- Manage Mimecast emails and secure data archiving.

(5) Financial Administration

- Deposit cheques and manage client payments.

- Chase debtors and update financial records.

- Handle monthly disbursements and QuickBooks entries.

(6) Other Responsibilities:

- Assist with Smartsearch reports and set up new clients.

- Conduct Smart searches and facilitate Zoom call setups.

- Manage timesheets, print and post letters.

- Handle secure data and archive files.

- Roll forward and amend accounts.

- Other ad-hoc secretarial and reception responsibilities as required.

[Requirements]

(1) Fluency in English

(2) Minimum 3 years’ admin & office experience

(3) Advanced MS Office skills

(4) Excellent communication & interpersonal skills

(5) Able to commute to Central London (fully office based role without hybrid option)

[Working conditions]

(1) Location: Central London

(2) Job type: full-time & permanent & office based

(3) Working hours: 9am~5pm

(4) Annual basic salary: Up to 30K (depending on experience)

(5) Discretionary Bonus

(6) Benefits: Pension scheme, Occasional Lunches, Work Trips, Cycle to Work, Season Ticket Loan: Access loans for commuting expenses

(7) Annual Leave: Starting with 20 days, increasing to 22 after 5 years, and 25 after 10 years (plus bank holidays)
