We're seeking an experienced and proactive Executive Assistant to provide dedicated support to one of our senior partners and assist with key office management duties.

Role Overview:As the EA to Partner, you will play a vital role in supporting the Partner and ensuring smooth daily operations. This role demands a high level of professionalism, discretion, and organisation, along with the ability to manage multiple priorities. You will be responsible for comprehensive diary and travel management, supporting the Partner with various administrative tasks, and occasionally assisting the wider team with travel arrangements and ad hoc requests. This is a dynamic, hands-on role suited for an experienced EA with a minimum of 5-10 years of experience in a corporate setting, preferably in financial services.

Key Responsibilities:

  • Diary and Schedule Management: Coordinate complex and high-volume diary management for the Partner, managing scheduling conflicts, and coordinating with both internal and external stakeholders.
  • Travel Coordination: Organise international intricate travel arrangements for the Partner, including flights, accommodations, and itineraries. Provide ad hoc travel assistance for the wider team as needed.
  • Meeting Preparation: Ensure the Partner is fully prepared for all meetings by organising agendas, printing documents / packs, collating relevant documents, and managing follow-up actions.
  • Email and Communication Management: Monitor and manage the Partner's email inbox, filtering communications, drafting responses when appropriate, and prioritising critical items.
  • Office Management Collaboration: Work closely with the office management team to support day-to-day office functions, including managing supplies, coordinating facilities maintenance, and ensuring a positive working environment.
  • Stakeholder Liaison: Serve as the first point of contact for internal and external stakeholders, representing the Partner with a high degree of professionalism and confidentiality.
  • Project Support and Ad Hoc Tasks: Assist the Partner with various projects and presentations, including data gathering, preparing reports, and managing special projects as required.

Qualifications and Skills:

  • Experience: 5-10 years of relevant Executive Assistant experience, ideally within an investment firm, private equity or financial services (this is a must have so please only apply if that's the case).
  • Communication: Excellent written and verbal communication skills, with the ability to interact professionally with stakeholders at all levels.
  • Organizational Skills: Strong attention to detail and highly organised, with the ability to manage multiple tasks and priorities efficiently.
