Are you a skilled Executive Assistant looking to advance your career in a dynamic and fast-paced environment? We're seeking an experienced and proactive individual to support senior leaders within our Financial Institutions Group, part of our Investment Banking Division. This role offers an exciting opportunity to join a globally recognised financial services firm, working at the heart of our investment banking operations.

About the Role:

In this role, you will be supporting the Head of UK and Ireland FIG and two senior bankers. You will be responsible for managing daily operations, providing high-level administrative support, and acting as a key point of contact between our team and clients. Your main duties will include:

  • Diary Management: Control of complex schedules, ensuring that meetings, calls, and appointments are managed seamlessly.
  • Travel Coordination: Organise travel arrangements, including flights, hotels, visas, and ground transportation, while ensuring compliance with our expense policies.
  • Expense Processing: Handle monthly expenses and invoices, ensuring timely submission and adherence to company policies.
  • CRM Maintenance: Manage client relationship information and assist with event planning, including client meetings and team social events.
  • Team Support: Collaborate with the administrative buddy group to ensure seamless coverage during absences, providing reliable support to other team members as needed.

  • Excellent Communication Skills: Articulate and capable of interacting effectively with colleagues and clients at all levels.
  • Organisational Prowess: Proven ability to manage priorities, multitask, and remain calm under pressure in a fast-paced environment.
  • Tech Savvy: Familiarity with Microsoft Outlook and other MS Office applications, experience with online expense and travel booking tools (such as Concur), and a general ease with learning new systems.
  • Proactivity and Initiative: A 'can do' attitude, with the ability to solve problems, find solutions, and work independently.
  • Team Spirit: A strong team player, able to work well with other assistants to provide seamless coverage and support.
