The RoleThis role is to provide administrative support to the Direct & Facultative Chief of Staff, as well as the broader team across Direct & Facultative (London).NB: not all colleagues within the department will require assistance
  • Support key Senior Leaders including the D&F Chief of Staff, including diary management.
  • Efficiently organise complex travel arrangements 
  • Assistance with expense claims
  • Manage internal & external meetings / create visitor passes
  • Organise restaurant and external event bookings
  • Minute taking at meetings
  • Creation of PowerPoint slides
  • Arrange meeting rooms, catering and send out meeting invites with key information
  • Update supported colleagues diaries with travel arrangements and restaurant booking details
  • Ensure external and internal clients queries are dealt with demonstrating high quality standard of professional excellence
  • Open/deliver post to team members
  • Assist with IT issues when requested
  • On-boarding new joiners; arranging equipment, security passes etc.
The Requirements
  • Demonstrated secretarial experience preferably in a large corporate environment
  • Ability to work under pressure with tight deadlines 
  • Ability to problem solve and handle last minute changes
  • Ability to work across a number of stakeholders and keep them up to date
  • Experience with diary management, including complex travel arrangements
  • Moderate PowerPoint & Excel skills 
  • Fully conversant with Microsoft Outlook and Word 
  • Highly organised and efficient
  • Able to work collaboratively
