Are you an experienced Executive Assistant able to provide a high level of skilled assistance and support to a team? If yes, Signature Recruitment is looking for an Executive Assistant to support senior leadership at a prestigious creative University in London. This full-time role has an immediate start and is initially for a two-months - with the possibility to extend and, for the right candidate, be offered on a permanent basis. It is a hybrid working arrangement with three days on campus, Tuesday, Wednesday and Friday and the balance working from home.
The ideal candidate will be able to work in a vibrant, busy and demanding setting. A typical day will include extensive diary management and scheduling meetings. In addition, the associated coordination of complex travel planning and arranging itineraries. You will also have a high level of experience in the organisation of meetings. To include overseeing and ensuring Committee Meetings are attended, agendas circulated, well-drafted minutes taken, and actions followed.
Executive Assistant Key Responsibilities:
- Providing exceptional support to Senior Executives and the wider team
- Organising complex diary management and overseeing shared inboxes, dealing with queries and signposting as necessary. Producing well drafted reports, papers, and other correspondence
- Arranging and assisting with internal and external meetings including expertly servicing meetings and taking well drafted minutes and following up action points
- Developing and maintaining spreadsheets, databases and management information. Monitoring budgets and providing statistical reports for the Executive Team
- Handling internal and external enquiries with suppliers, partners and other stakeholders in a professional manner
- Other duties as required in order to assist with the smooth functioning of the team and wider university, including researching and creating briefing notes and presentations
Executive Assistant Key Skills:
- Executive Assistant experience
- Exceptional organisational skills for diary and meeting management. High attention to detail and good time management with the ability to prioritise and manage multiple tasks
- A proactive, flexible team player with strong communication skills to confidently liaise verbally and in writing with senior members of the team and other stakeholders
- Highly proficient in IT skills, MS Office
