Our client is an ambitious and purpose-driven organisation and they are seeking an Executive Assistant that will work closely with the Chief Executive and wider team, helping to develop and maintain efficient, effective processes that will enable the delivery of high-quality programmes and operations at a senior level
This is a varied and rewarding role for a proactive, highly organised professional with outstanding judgement, discretion and the ability to anticipate needs and manage priorities in a fast-paced environment.
This is a remote based role with occasional trips to London.
Key Responsibilities:
- Manage the Chief Executive’s inbox — ensuring timely follow-ups, maintaining organised filing systems, and responding on their behalf where appropriate.
- Take full ownership of the Chief Executive’s diary, including, anticipating and resolving scheduling challenges as they arise, liaising with internal and external stakeholders to reschedule or coordinate meetings, developing an understanding of priority relationships and key contacts, allowing for travel time and logistics for in-person engagements and working with other team assistants to organise multi-stakeholder meetings where required.
- Prepare materials for meetings, including briefing packs, attendee profiles, and supporting information.
- Provide regular briefings and debriefings, maintaining a clear and structured working rhythm that maximises the Chief Executive’s time and effectiveness.
- Attend meetings as needed, taking clear, accurate notes using tools such as Microsoft OneNote, sharing minutes, and following up on actions.
- Manage the Chief Executive’s task list using digital tools and project management platforms.
- Arrange travel, accommodation, and logistics for both domestic and international trips.
- Maintain a high standard of confidentiality and discretion at all times.
- Support general administrative duties, including setting up meeting rooms, processing expenses, and managing credit card reconciliations.
- Provide cover for other Executive Assistants during periods of leave as required.
- Assist with the organisation and planning of internal offsites and team meetings.
- Support the coordination of the organisation’s involvement in key external events, including:
- Managing availability and scheduling for meetings and workshops.
- Preparing daily briefing updates when teams are attending major external events.
- Work alongside the Operations team on office management duties, including liaising with building management, maintaining supplies, and supporting day-to-day office needs.
Experience and Skills Requirements:
- A natural decision-maker, able to remain calm under pressure and exercise excellent judgement.
- Strong ability to predict and plan for the needs of senior leaders while communicating clearly and professionally.
- Excellent written and spoken English, with clear, concise, and approachable communication skills.
- Exceptionally organised and disciplined — an expert time manager with a keen eye for detail and a focus on continuous improvement.
- Technically confident and enthusiastic — comfortable using Microsoft Office, diary management tools, and project management platforms such as Asana, and eager to explore new, efficient ways of working.
- Adaptable, composed, and solutions focused.
