We are currently partnered with a Non-Profit Organisation who are looking to bring on board an Executive Assistant.

The Executive Assistant (EA) to the Chief Executive will provide comprehensive support to the CEO and occasionally to other members of the leadership team. This role is vital in ensuring the efficient operation of the executive office and includes a variety of administrative and organizational tasks.

Key Responsibilities:

  • Diary Management: Manage the Chief Executive's schedule to ensure efficient time management and the maintenance of line management one-to-one meetings.
  • Task and Time Management: Proactively manage tasks and deadlines to support effective time allocation.
  • Logistical Planning: Coordinate logistics for meetings, including booking rooms, arranging travel, and organizing meals.
  • Document Preparation: Format letters, reports, papers, and presentations to a high standard.
  • Support Functions: Assist the CEO Office, Chair, and wider leadership team as needed.
  • Business Reporting: Support the production of monthly business reporting and presentations.
  • Finance Assistance: Assist the finance team with expenses, credit cards, and new supplier forms.
  • Process improvement: A focus on continuous improvement, working with the businesses wider administration team, helping improve systems and processes where applicable
  • Coordinate and Manage Documentation: Accurately record and maintain formal board minutes, ensuring comprehensive and precise documentation of meetings. Additionally, prepare and distribute meeting notes and track action items across the senior leadership team to facilitate seamless communication and follow-up on strategic initiatives.

Qualifications & Experience:

  • Highly experienced and process-driven.
  • Strong understanding of not-for-profits and charities.
  • Ability to work with multiple stakeholders and handle a variety of tasks and projects.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Experience working with Microsoft applications including PowerPoint & Excel

Desirable:

  • Experience working with risk registers and policy.
  • Experience with governance and trustee/NED support
