Overview

We are seeking a proactive and highly organized Executive Assistant to support our Directors and broader team. This is a pivotal role that will ensure the smooth running of the business by managing administrative, operational, and HR-related tasks. The ideal candidate will have exceptional organizational skills, the ability to multitask, and a proactive approach to problem-solving.

Key Responsibilities

Executive Support

  • Manage and coordinate the Directors’ diaries, including scheduling meetings, appointments, and travel arrangements.
  • Prepare agendas, materials, and meeting notes, ensuring Directors are well-prepared.
  • Act as a first point of contact for the Directors, handling correspondence and communication on their behalf.

Team Support

  • Provide administrative support to the wider team as needed, including scheduling team meetings, arranging travel, and managing calendars.
  • Assist with document management, ensuring files are organized and accessible.
  • Assist our marketing manager with key administrative tasks on Canva and other tools.
  • Assist with our key project management tools such as Monday.com

Office Management

  • Oversee the day-to-day operations of the office, including managing supplies, coordinating with vendors, and maintaining a welcoming and professional environment.
  • Handle incoming and outgoing correspondence, ensuring timely responses where needed.

Human Resources

  • Assist with HR-related tasks, including onboarding new team members, maintaining employee records, and organizing training sessions.
  • Support with leave tracking.
  • Coordinate and plan team events and staff engagement activities.

Skills & Qualifications

  • Proven experience as an Executive Assistant, Office Manager, or in a similar role.
  • Exceptional organizational and time-management skills.
  • Strong communication skills, both written and verbal.
  • High level of discretion and professionalism when handling sensitive information.
  • Proficiency in Microsoft Office Suite and other relevant software (e.g., Teams, Zoom, or similar tools).
  • A proactive mindset with the ability to anticipate needs and act independently.
