What you'll do:As a Korean/Japanese Speaking Executive Assistant, your role will be pivotal in providing day-to-day administrative support to the team. Your responsibilities will include proactive diary management, contact management, booking and managing global travel arrangements, setting up meetings and conference calls, supporting staff activities, office management, expense processing, and performing ad hoc duties as required. You will need to demonstrate reliability, friendliness, organisation skills at all times.
- Proactive diary management and client phone coverage
- Contact management and business card digitisation / filing
- Booking and managing global travel arrangements and coordinating all logistics for business trips
- Setting up meetings and conference calls, both internally and externally
- Supporting staff activities such as joiners/leavers/team events/system access
- Office management, physical file store organisation, and general administration
- Management of expense processing and general budget/finance support
- Perform ad hoc duties as required
What you bring:
- Excellent written and verbal communication skills in both English and Japanese
- Reliability and expertise in diary management and travel planning with an ability to apply good judgement
- Exemplary client-facing and interpersonal skills
- Ability to multi-task in a busy role and prioritise effectively
- High level of attention to detail
