This role is the perfect opportunity for someone looking to work in a busy boutique office in the City of London. You will have the chance to be working under a motivated and proficient Principal while being part of a sociable team.

We are looking for a highly organised and proactive EA to support the Principal in managing a growing diverse property portfolio. This fast-paced role involves overseeing, purchases, buy-to-let mortgage applications, coordinating property maintenance, handling administrative tasks, and ensuring smooth day-to-day operations. The ideal candidate will have a strong background in property or mortgage broking and exceptional discretion in handling confidential matters.

Experience:

  • Minimum 5 years of experience in an Executive Assistant role would suit someone with experience in any of the following; a real estate company, mortgage broker or solicitor firm.
  • Strong ability to maintain confidentiality and handle sensitive information with discretion.
  • Excellent organisational and communication skills with a proactive approach.
  • The ability to use initiative and manage problems without having to await direction.
  • Being able to work independently and as part of a team.
  • Comfortable working in a fast-paced, high-pressure environment with shifting priorities.
  • Flexibility to travel between Southend or surrounding areas and London as needed.
  • A driving license and access to own vehicle is preferred but not mandatory.

Duties:

Property & Mortgage Support

  • Manage and oversee all buy-to-let mortgage applications, ensuring timely submission of property schedules and confidential documentation.
  • Arrange surveyor visits and follow up with brokers on mortgage progression, refinancing, and acquisitions.
  • Liaise with letting agents to ensure property maintenance issues are resolved efficiently and cost-effectively.
  • Conduct property inspections, provide reports with findings, and coordinate contractor visits when necessary.

Investment & Acquisition Assistance

  • Inspect potential investment properties and compile visual and written reports for the Principal’s assessment.
  • Draft heads of terms and offer letters for property acquisitions.
  • Log and track new leads from the Principal’s inbox, updating the team via the company CRM.
  • Proactively schedule and ensure the Principal meets with agents regularly to maintain a strong pipeline of investment opportunities.

Personal & Administrative Support

  • Assist with various personal matters for the Principal as required.
  • Handle payments for office and property-related expenses.
  • Ensuring office supplies are stocked.
  • Manage the Principal’s inbox, diary and appointments.
  • Provide high-level administrative support to ensure efficiency in all aspects of business and personal responsibilities.

Licence/Certification:

A full, valid driver’s license (preferred)
