We are seeking a Temporary Executive Assistant to provide comprehensive business, administrative, and personal support to the Vice-Principal. This role is ideal for someone who excels in a dynamic, fast-paced environment and possesses strong organisational and communication skills.

Day-to-day of the role:
  • Act as the first point of contact for all communications for the Vice-Principal, managing both their shared mailbox and incoming correspondence efficiently.
  • Manage the Vice-Principal’s diary, ensuring it is up-to-date and reflects changing priorities, and liaise with relevant parties to negotiate and organise schedules.
  • Organise meetings, including booking venues, arranging hospitality, transport, and accommodation, and distributing agenda and supporting papers as required.
  • Manage travel itineraries, including booking travel and accommodation.
  • Provide administrative and secretarial support for meetings, which includes preparing agenda papers, taking minutes, and following up on actions. Also responsible for inviting and hosting external guests.
  • Support the production of reports, business papers, spreadsheets, and presentations.
  • Undertake financial administration tasks such as procurement, raising purchase orders, and processing expense claims, ensuring compliance with financial regulations.
  • Work collaboratively within a small team to maintain high standards of operation under the direction of the Office Manager.
  • Handle general office support tasks, which may include ad-hoc projects, processing invoices, collecting post, providing reception cover, monitoring office supplies, and covering for absent colleagues.
Required Skills & Qualifications:
  • Proven experience in an administrative or personal assistant role.
  • Strong organisational and time management skills, with the ability to prioritise effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Experience in handling confidential information with discretion.
  • Ability to work independently and as part of a team.
