We are seeking a highly skilled Executive Assistant (EA) to support our executive team in a dynamic and fast-paced creative environment. In this role, you will be essential in ensuring smooth day-to-day operations by providing top-tier administrative support. The ideal candidate will be professional, proactive, detail-oriented, and experienced in managing multiple priorities in a creative industry setting.
Key Responsibilities:
- Provide full administrative support to the executive team, including managing calendars, scheduling meetings, and handling correspondence.
- Organise and prepare materials for meetings, presentations, and key communications.
- Manage a variety of tasks and projects, ensuring all deadlines are met and details are meticulously handled.
- Act as a liaison between the executive team, internal staff, and external partners, ensuring smooth communication and efficient request management.
- Handle confidential information with the utmost discretion and professionalism.
- Maintain organised and accessible files, reports, and other essential documentation.
- Assist with travel arrangements and event planning, coordinating logistics and itineraries for both domestic and international travel.
- Proactively seek opportunities to enhance workflows and streamline processes across departments.
Qualifications:
- Minimum of 5 years' experience as an Executive Assistant or in a similar administrative support role, ideally within the creative industry.
- In-depth understanding of the creative industry and the ability to thrive in a fast-paced, ever-changing environment.
- Advanced proficiency in MS Office Suite (Excel, PowerPoint, Word) and experience with project management software.
- Excellent written and verbal communication skills, with the ability to interact professionally with executives, clients, and teams at all levels.
- Exceptional organisational skills, with a proven ability to manage multiple projects and meet deadlines.
- Proactive, self-motivated, and able to anticipate the needs of the executive team.
- Strong problem-solving skills, high attention to detail, and the ability to prioritise effectively.
- Discretion in handling sensitive information and maintaining confidentiality.
- A collaborative, positive attitude and the ability to thrive in a creative, team-oriented environment.
