Office based role

A property and construction consultancy are looking for an Office and Team Assistant based in London office near Liverpool Street. You will play a crucial role in overseeing and maintaining the office operations and serve as a primary admin support assistant for directors. Looking for an Office & Team Assistant with the ability to manage multiple tasks efficiently, excellent communication, and demonstrate initiative and flexibility while working both independently and as part of a team.

Duties include:

  • Managing the Reception function including screening calls and taking messages
  • Meeting and greeting visitors and ensuring that staff are aware of the visitor's arrival (by telephone). Offer all visitors refreshments on arrival
  • Dealing with any incoming posts and deliveries
  • Producing and issuing invoices using the Access
  • Typing and formatting correspondence, meeting minutes, reports, and submissions, preparing presentation material and other documents, collecting and collating / photocopying information for reports; binding documents
  • Ordering and managing couriers or parcel collection/delivery
  • Maintaining the existing filing system including confidential and personal files
  • Making travel and hotel reservations when requested
  • Assist management of office cleaners
  • Assisting with general office administration
  • Ordering and maintaining office stationery supplies (fruit, milk, etc) and refreshments
  • Taking the daily file server backup tape off-site and rotating the tape stock when required
  • Running occasional errands for Directors including buying lunch, and incidental shopping
  • Ensuring photocopiers, fax machines, printers etc remain operational and managing the maintenance and repair of the equipment

Experience required:

  • At least 1-2 year's experience within a corporate environment
  • Strong communication and interpersonal skills with colleagues, clients, and consultants.
  • Self-motivated, organised and able to work independently
  • Flexible team player
  • Proficient in MS Word, Excel, Adobe, and Access.
