My well established FTSE 100 Client is urgently recruiting for a Personal Assistant (PA) to work up to 4 days a week on site in central London for an initial 3 month contract, working inside IR35 (through an umbrella company).

I am looking for 3-5 years of PA experience at the C-suite or Director level, to support three directors and assist the wider department team.The role will involve organising events, scheduling calendars, and booking meeting rooms and travel.Typical day to day activities will include;

Description

Check emails, calendar, and priorities for the day

Filter, flag urgent meeting requests/emails, and draft responses to relevant people

Schedule/reschedule meetings, accept meeting requests promptly, and set reminders. Always have a forward look in diaries up to 2 months in advance.

Categorise and color-code director's meetings based on activities or type of meeting

Update directors via email to teams depending on urgency on any schedule changes and/or priorities they need to be aware of

Book flights, hotels, and transportation if needed

Prepare meeting agendas for calendar invites as and when required, documents, and briefing notes

Check on pending tasks and remind stakeholders

Manage receipts, create expense reports in SAP Concur, and payments

Book restaurants for directors or guests as needed

Ensure meeting rooms as booked for every meeting in the director's diary on the days they are in the office, Tuesdays, Wednesdays and Thursdays. Forward look at book meetings rooms in advance. Ensure a MS Teams in always included.

Recap tasks, update to-do lists, and set priorities
